Client Churn Cost Calculator for Coaches
Put a dollar figure on the clients who quietly leave your roster each year, and on the share of them an earlier conversation would have kept.
Free tools
Two quick calculators built from the numbers that actually move an independent coaching business: retained clients and the hours you spend keeping them.
Coaching businesses fail on arithmetic more often than on programming. A trainer at 30 clients and $200 a month is running a real business, but three cancellations a month means rebuilding roughly a third of the book every year, and the sales work to replace those people never shows up in an hourly rate. These tools put a number on both halves of that.
Both calculators run in your browser and nothing you type is stored or sent anywhere. Change the defaults to match your own book: your fee, your roster, your honest guess at monthly cancellations. The output is only as good as the inputs, so use your last three months of actual numbers rather than the ones you wish were true.

Calculator
Estimate the weekly hours your check-in routine consumes, split between reading real answers and chasing the clients who never replied.
Working document
A complete fill in template for the weekly check-in, built from the questions that actually predict whether a client is still training in month three.
There is no account, no email gate, and no roster upload. These are the sums independent trainers already do badly on the back of a session plan: multiplying three cancellations a month by the four months a client had left in a typical seven month run, or adding up the minutes that go into working out which eight people ignored Sunday's check-in form. Doing that arithmetic once, properly, with your own fees and your own reply rate, is worth more than any pitch we could put in front of it.
Each calculator stands on its own and is useful whether or not you ever speak to us. Run the churn figure before you sign a floor rental or raise your monthly coaching rate, and run the check-in hours before you decide whether your book can carry another ten clients. Nothing you type leaves the browser, so you can put in the real blended fee across your in-person and online clients rather than the flattering one. Most coaches find both numbers settle an argument they have been having with themselves since the last quiet month.
Whichever figure you just produced, lost client value or hours lost to chasing, it stays a figure until something in the routine changes. A demo shows the weekly form leaving on each client's own send day, the adherence score landing the moment they answer, and the ranked list waiting for you before your first session on Monday. Bring the number and we will work backwards from it.
